ILH~OS Privacy Policy

1. Who This Policy Covers
This Privacy Policy applies to ILH~OS trial users, purchasers, licensed housing operators, authorized staff, and individuals who submit account or payment-related information to PEARLZZ LIMITED.
2. Information We Process
Depending on how ILH~OS is configured and used, information may include:
- Account information, including name, business name, email address, telephone number, and login credentials.
- Licensed-site information, including the physical property address and license number.
- Trial, subscription, invoice, and payment-verification information. Payment providers may process financial information under their own policies.
- System activity, audit records, access events, error information, and security-related records.
- Housing-program and participant records entered by the licensed operator or its authorized staff.
3. How Information Is Used
Information is used to create and administer accounts, provide the seven-day trial, authenticate users, manage single-site licenses, support payment and customer service, protect system security, maintain auditability, provide requested features, and comply with applicable legal obligations.
4. Operator and PEARLZZ Responsibilities
The licensed housing operator determines what participant information its personnel enter into ILH~OS and is responsible for lawful collection, access permissions, notices, consent, retention, disclosure, and record accuracy. PEARLZZ LIMITED processes account and service information to provide and protect ILH~OS.
5. Sensitive and Participant Information
Housing records may contain sensitive information. Operators must limit access to authorized personnel, assign appropriate roles, protect login credentials, follow applicable program requirements, and avoid entering information that is unnecessary for an authorized housing purpose.
6. HIPAA and Other Regulated Data
Use of ILH~OS does not by itself make PEARLZZ LIMITED or an operator compliant with HIPAA or another regulatory program. Each operator must determine which laws and contractual requirements apply to its organization and whether an additional agreement, configuration, safeguard, or restriction is required before entering regulated data.
7. Disclosure of Information
Information may be disclosed to service providers that support hosting, storage, security, communications, payment processing, or technical operations; when directed by the licensed operator; to protect users, PEARLZZ LIMITED, or the service; in connection with a lawful business transaction; or when required by law. PEARLZZ LIMITED does not authorize the sale of participant records for advertising.
8. Data Location and Storage
ILH~OS may operate as a single-site installation or through approved hosting services. The storage location and available backup, export, and recovery options may depend on the purchased deployment and operator configuration.
9. Retention
Account, license, audit, and service records are retained as reasonably necessary to operate and secure the service, document transactions, resolve disputes, and meet legal obligations. Operators are responsible for their own participant-record retention requirements. Suspension of access does not necessarily cause immediate deletion.
10. Security
PEARLZZ LIMITED uses reasonable administrative and technical safeguards appropriate to the service. No system can guarantee absolute security. Users must maintain confidential passwords, use authorized devices and networks, promptly remove access for former staff, and report suspected unauthorized access.
11. Choices and Requests
Account holders may request correction of account information or ask questions about retention and deletion. Requests involving participant records should ordinarily be directed to the housing operator that controls those records. Some information may be retained when required for security, legal, contractual, or audit purposes.
12. Children
ILH~OS is a business system for authorized housing operators and is not offered directly to children for personal use.
13. Policy Updates
This policy may be revised as ILH~OS, its deployment model, or applicable requirements change. A revised policy will display a new effective date.
